Senior Project Administrator
6 month Contract
400 per day




Objectives of the Role

  • Act as a critical support anchor for the project, ensuring that project governance, documentation, and administrative processes run smoothly
  • Support project efficiency, rigorous compliance, and effective stakeholder communication across all phases of delivery
  • Collaborate closely with the  teams on the planning and tracking of data migration activities
  • Provide structured coordination and administrative support to ensure consistency in project processes, including scheduling across multiple internal delivery teams
  • Maintain comprehensive risk, issue and decision logs and prepare high-quality materials for project governance and oversight meetings.
  • Facilitate clear and timely communication between all stakeholders, ensuring the effective flow of updates, documentation and decisions
  • Maintain programme momentum, particularly during key project phases, periods of annual leave or high workload.


Responsibilities

  • Prepare internal project status reports and briefing materials, including the assimilation of inputs from the solution provider
  • Maintain programme documentation, shared repositories and governance records
  • Coordinate project meetings and workshops involving the various dept the solution provider and wider external HR stakeholders, ensuring agendas, documentation packs, action logs are clear and  accurate
  • Support stakeholder‑management activities including documenting HR stakeholder mapping, preparing communications, updating engagement logs, and coordinating briefings for internal and external participants
  • Assist with change‑management activities, including preparation of impact summaries, key messages, FAQs, training coordination (internal and external) and user‑readiness materials;
  • Track project activities, risks, issues and dependencies, ensuring relevant resources are scheduled and available, and escalate matters requiring senior attention from the Depart
  • Support the monitoring of contract deliverables, including tracking timelines, recording correspondence and coordinating joint review checkpoints.


Required Skills and Qualifications

  • A minimum of three years’ experience in project administration or PMO support, ideally within large or complex public‑service or health‑sector environments
  • Strong organisational and documentation skills, with excellent attention to detail and a clear understanding of governance requirements
  • Demonstrated experience supporting stakeholder engagement and change‑management activities, including communications, briefing coordination and impact tracking
  • Excellent written and verbal communication skills, with experience preparing structured documentation, meeting materials and senior-level briefing notes
  • Proven ability to work collaboratively and responsively with a project lead and multidisciplinary teams
  • Proficiency in the use of project management and collaboration tools
  • Experience working in Agile/Scrum environments, or supporting Agile delivery teams, is desirable.
