About the Role
Reporting to the Branch Manager, you’ll be trusted to manage your day-to-day workload independently while working closely with drivers, the Hire team, other branches and internal colleagues. Your focus will be on delivering an excellent customer experience while making the best use of vehicles, driver time and fuel.
Key Responsibilities
- Handle inbound enquiries, prepare hire and servicing quotations, and convert confirmed enquiries into hire contracts.
- Maintain accurate customer, hire and planning information using the company’s in-house systems; full training will be provided.
- Plan daily delivery, collection and servicing routes for portable toilets, welfare units and associated hire equipment.
- Allocate work to suitable drivers and vehicles, considering location, capacity, access restrictions, vehicle type and operational priorities.
- Optimise routes to reduce unnecessary mileage, journey time and fuel use while meeting customer requirements wherever reasonably possible.
- Provide drivers with clear schedules and relevant site information, monitor progress throughout the day, and adjust plans in response to delays, breakdowns, urgent requests or other operational issues.
- Identify failed or incomplete jobs, arrange prompt follow-up, and support the resolution of customer queries relating to deliveries, collections or servicing.
- Process waste transfer notes and other documentation, checking records carefully and resolving discrepancies quickly.
- Complete accurate data entry and produce daily delivery, collection and servicing paperwork.
- Prepare daily and weekly Excel reports for management and client review.
- Highlight potential capacity, resource or service issues to management at the earliest opportunity.
- Build positive working relationships with drivers and provide practical day-to-day operational support.
- Promote safe working practices and ensure planning decisions do not compromise health and safety.
- Identify opportunities to improve routes, productivity and the overall efficiency of the Hire operation.
- Support the wider team, remain flexible during busy periods and undertake other reasonable duties when required.
About you:
- Strong planning, prioritisation and organisational skills.
- Clear and confident communication by phone, email and in writing.
- Confidence using IT systems, including Microsoft Excel and in-house platforms.
- Excellent attention to detail, with accurate data-entry and paperwork skills.
- The ability to work independently and collaborate effectively as part of a team.
