Purchasing Clerk - Procurement Coordinator


Job Summary

Responsible for the procurement of product i.e., This includes Purchase Order input, communication with all factories, weekly updates of PO’s in progress. In addition, research and analyze freight carriers (container, LTL, etc.) for best pricing and quality. Work closely with Inventory Management to insure inventory levels are maintained through the procurement process.


Summary of Essential Job Functions

1. Purchasing Agent

a. Place purchase orders as directed; verify quantities, pricing details, inserts, packaging, product drawings, and labels.

b. Monitor PO acknowledgements; shipping estimates; shipping dates and logistics of product from dock to dock via email and EDI as required.

c. Responsible for maintaining open and constant communication with the factory to ensure that all purchase orders are being processed efficiently, ocean freight is being booked, and that all deadlines for shipments are being met, especially purchase orders for Costco promotions to ensure timely delivery. Must keep VP, Operations and CFO informed of any issues.

d. Monitor and maintain shipping report from all factories to determine accurate pipeline of purchase orders.

e. Communicate with Container business customers with regards to shipments delivery times.

f. Track sample orders and reconcile purchase orders

g. Obtain original documents once the purchase order has shipped from China. Review for inaccuracies.

h. Prepare for customs clearance and pier passes.

i. Communicate with the customer providing PO status, shipping documents and arranging delivery appointments.

j. Follow up on sample requests to ensure timely delivery.
