Our Client is an established MNC in the Luxury Retail Business.  They have huge international presence. The office in  Singapore is an APAC office with over 70 pax
 
They are looking for an experienced Personal Assistant cum office manager who is well-versed in office administration, secretarial support. The office manager will also be handling Human Resource Administration duties and will be providing 1 to 1 secretarial support to the managing director. Please note that the incumbent is required to sit at the front desk counter and manage the front desk duties however the visitor volume of the office is not expected to be high.
 
Candidate with short notice or Immediate is preferred

The Talent
  • Looking for a Diploma/ Degree holder with a minimum of 3 to 8 years of secretarial experience in an international working environment
  • Exceptional knowledge and experience working with PowerPoint, Excel, Word, and other Microsoft applications
  • Ability to write professionally, have an excellent command of written English, grammar and strong proofreading skills
  • Flexibility to work with multiple personalities and with all levels of management within an organization
  • With a strong passion for legendary customer experience and always prepared to ‘go the extra mile' in delivering support on time and to the highest standards
  • With outstanding interpersonal communication skills
  • Have people management experience and have supervisory experience

The Job

  • Providing 1 to 1 secretarial support to the managing director
  • Handle travel arrangements  and calendar management for the managing director
  • Providing personal assistance on Director's family matters
  • Responsible for administration of local service agreements including tenancy, apartments, hotels, travel agency, company cars and other services.
  • Sourcing, negotiation, finalization and maintenance of tenancy agreements for office
  • Manage infrastructure setup of offices including layout and design, renovation, A&A works for office and retail stores
  • Schedule and confirm conferences, business meetings and booking of conference rooms

HR Administration 

  • Supporting HR in recruitment, new staff orientation and processing of work passes (WP & SP & EP) applications.
  • Administer medical claims for hospitalization, surgical claims and medical bills.
  • Maintain & update monthly leave and medical records for all staff.
  • Inventory control of departmental forms, documents and stationeries.
