Overview of Role

As a Bid Manager you will be responsible for managing and coordinating the submission of Pre-qualification questionnaires (PQQs) and large bid submissions across several Business Units.  You will be responsible for ensuring that PQQ and Bid submissions are completed while adhering to the bid process and governance structures set out by the company.  This role will require significant collaboration across the Ergo talent pool to ensure that responses are to the highest possible quality standard in order to maximise our submission success rate. 
 
Main Responsibilities
 
• Act as the single point of contact and communication on PQQ/Bid submissions (internal and
  external)
• Have a clear understanding and interpretation of the questions and requirements within
  PQQ/Bid documentation
• Liaise with different individuals/teams across the business to obtain the required
   information to answer the questions in a clear and concise manner
• Ensure that answers to all PQQ/Bid submission questions are constructed to the highest quality standards
• Conduct post bid outcome analysis to understand bid scoring to inform continuous
   iimprovement initiatives
 
• Control and prioritise from Bid Sign On to Bid Off, managing and recording the required
   sign offs and dates etc. for each individual opportunity
• Maintain the Bid Templates for the Bid process and for submission
• Responsible for the timely planning, co-ordination and efficient management of the
   PQQ/Bid submissions (non-commercial).  Planning from Sign on to submission
• Maintain and develop tooling that supports the bid submission process
• Maintain and update the library of company standard documentation for submissions;
   ensure project and employee profiles are updated on an ongoing basis.
• Work collaboratively with internal teams to build up a library of associated content.
• Undertake ongoing research with regards to best practices.
• Assemble PQQ/Bid submissions - collaborate, assemble, review final draft and produce the
   final package.
• Maintain completed PQQ/Bid submission log, calculate success rates, obtain feedback,
   maintain lessons learnt log.
• Consolidate all legal documentation required to complete tender
• Track cost drivers and consolidate commercial drivers.
• Managing and preparing bids in accordance with company operating procedures, and
   through managing contractual reviews.
• Fulfil the Bid Management function by providing central management for global bid
   opportunity responses including bid task assignment, tracking, collating, packaging, ad-hoc
   queries / request, strategy recommendations.
• Review content of bids, pricing sheets and formatting, achieved assuring that all material is
   responded to, through the review of the response and acting as a back board to the total
   solution.
• Risk Register and Risk Assessment is essential to each bid opportunity.
 
Experience
 
• At least 5 years’ experience in a similar role in an IT organisation
• Experience with compiling extensive documents essential
• Project Management training essential
• Previous people management experience desirable
• Good presentation skills
• Excellent written and verbal communication skills
• Strong commercial acumen / experience
 
Education
 
• Desirable third level qualification in IT or Business Systems
• Relevant industry ITIL certifications
• Some relevant technical qualification/certification is essential.
• Business Certificates desirable not essential
