An excellent opportunity has arisen for an experienced Legal Secretary / Administration Assistant to join a busy Residential and Commercial Property team within a well-established South Devon law firm.

This role will provide key secretarial and administrative support to fee earners across a range of residential and commercial property matters. The successful candidate will play an important role in ensuring transactions progress efficiently while delivering an excellent level of service to clients and third parties.

Key responsibilities will include:

  • Acting as a first point of contact for clients, agents and third parties
  • Managing telephone enquiries and providing updates on transactional progress
  • Opening new client files and maintaining accurate records throughout the lifecycle of a matter
  • Updating and managing electronic and paper-based files
  • Digital transcription of legal documents and correspondence
  • Ordering property searches and monitoring results
  • Liaising with fee earners and other members of the property team
  • Managing diaries, appointments and schedules
  • Assisting with file storage and document retrieval procedures
  • Providing general administrative and secretarial support to the department
  • Supporting front-of-house and client-facing responsibilities where required

The successful candidate will have previous experience supporting a busy Residential and/or Commercial Property team and be confident working within a fast-paced legal environment.

Candidates should possess:

  • Previous legal secretarial or legal administration experience
  • Property law experience, ideally within residential and/or commercial conveyancing
  • Strong IT skills and experience using case management systems
  • Excellent organisational and time-management abilities
  • Strong communication and client care skills
  • The ability to work both independently and as part of a collaborative team
  • Excellent attention to detail and the ability to prioritise competing demands
