This is a great opportunity for someone looking to utilise administrative skills within the events industry, or for someone who has an appreciation for the creative event sector. It is likely this role will evolve over time to support specific project and programme areas as the project and team grow, with the opportunity to support with the delivery of the Queen’s Baton Relay either from within the office and/or out on the road at key points.
We are looking for a team player that will bring exceptional organisation skills to support a busy team, and this is additionally a great opportunity to be part of a once in a lifetime programme.
Responsibilities
- Proactively oversee and support the day-to-day administration of the division, including scheduling project meetings, maintaining electronic filing, managing purchase requisitions, and coordinating key tasks relating to the Queen’s Baton Relay.
- Maintain and update action logs for functional area and departmental meetings, working with the Heads of Queen’s Baton Relay and the wider team to forward plan.
- Undertake diary coordination across the team; planning multi-stakeholder meetings, scheduling calls, logistics for group sessions, preparing relevant briefing materials and agendas, and taking minutes and following up actions where required.
- Support the team to deliver operational plans against agreed milestones.
- Maintain contact information for all stakeholders engaged in Queen’s Baton Relay activities.
Skills and Experience
Essential
- Fluent in spoken and written English.
- Relevant administrative experience gained in a professional environment.
- Ability to work in a fast-paced environment, frequently under pressure, on multiple tasks.
- Advanced knowledge and experience of MS Office Suite products including Outlook, Word, Excel and PowerPoint.
- Experience raising Purchase Requisitions.
Desirable
- An interest in the events industry, particularly in relation to the arts.
- Experience using SharePoint and Dynamics.
Location: This role is based in Birmingham, England, and requires the successful candidate to be office based full-time.
Salary: £20,000-25,000 per annum
