Salary: USD149000 - USD150000 per year

Our client, a mission-driven investment management firm focused on sustainability, is seeking an Executive Assistant to support their Head of Fundraising and two incoming Managing Directors. The role is based in New York City, with a hybrid work model of four days in office and one remote day (Fridays). The hours are approximately 9:00am–6:00pm with flexibility required for after-hours availability, especially due to the firm’s international presence.

 

Responsibilities:
• Provide high-level calendar management in Outlook, scheduling across multiple time zones and managing back-to-back meetings
• Coordinate complex domestic and international travel arrangements, including flights, hotels, cars, and restaurants
• Process and track expenses using Concur
• Maintain and update relevant information in the firm’s CRM system
• Serve as a key point of contact for external clients and stakeholders; manage communications with professionalism and discretion
• Monitor executive inboxes and flag urgent matters, maintaining a high level of responsiveness

 

Qualifications:
• 5–7 years of executive assistant experience, preferably supporting C-level or senior leadership in investment management, finance, tech, or sustainability sectors
• Experience in client-facing and external stakeholder coordination
• Strong calendar, travel, and expense management capabilities
• Proficient in Outlook, Concur, and Slack; CRM experience preferred
• Exceptional organizational and time management skills with a proactive and resourceful approach

• Passion for mission-driven work; interest in ESG or sustainability is a plus

• $150K base depending on experience plus bonus
