Our client, a leading hedge fund located in Midtown Manhattan is seeking a Long-Term Temporary Project Coordinator to support the Global Head of Real Estate. The position starts asap and lasts up to two years; current schedule requires Tues-Thurs onsite and Mon/Fri work from home, though that could change in time. Hours are 8am – 6pm, with flexibility for overtime as needed. Hourly rate is $40-42/hr DOE.
Responsibilities:
- Manage and maintain project management system, interfacing with and across teams and departments within the organization; responsibilities include compiling a weekly recap of upcoming meetings, open items and upcoming deadlines.
- Manage the day-to-day workflow of the executive ensuring daily and weekly tasks and deliverables are operationally and strategically well aligned with priorities
- Ensure the executive is well prepared for external and internal meetings, and support execution of special projects.
- Maintain close relationships with external and internal parties, serving as liaison between them and executive
- Represent and intercede on behalf of executive in person, by phone and in written correspondence as needed and appropriate.
- Prepare notes and readouts resulting from all meetings
- Coordinate sensitive and confidential projects
Requirements:
- Minimum of 5+ years in a project coordinator or similar role ideally out of real estate, construction or financial services
- Excellent computer skills with the following: Microsoft Office, including Word, PowerPoint, Excel and Microsoft Outlook; project management or
- Demonstrated experience implementing systems to boost efficiency
- Proven ability to adapt and pivot quickly based on new information and able to prioritize and re-prioritize tasks in real-time in order to meet deadlines
- Excellent administrative and organizational skills, with expert attention to detail.
- Self-starter, able to work independently as well as collaboratively with others.
- Outstanding interpersonal skills, including the ability to work with all levels of employees
- Sound judgment, including the ability to use and show discretion
