Salary: USD80000 - USD85000 per year

High-profile Investment Management firm is seeking to hire a Temp-to-Perm Receptionist/Administrative Assistant in their NYC office. This position is for a smart, detail oriented, flexible, high-energy candidate with strong interpersonal and exceptional organizational skills, and who enjoys a fast-paced environment and working as part of a team. This role requires 5 days in office from 8am-5pm daily. 

 

Responsibilities:

  • Meet and greet guests – seat and offer drinks
  • Communicate with Admin Team via IM Chat on all meeting arrivals/departures
  • Manage conference rooms – coordinate all meeting requests as well as overall tidiness 
  • Log all guests into the building security system
  • Heavy phones – main line and Operations phones 
  • Receive and log all deliveries from FedEx, UPS and messenger services
  • Responsible for communicating all food/messenger deliveries with the Office Team
  • Supporting Operations team consisting of 3 Partners and 3 Managing Directors
  • Ensuring each team member is prepared for all meetings and calls, printing materials and marketing decks
  • Calendar management, scheduling zooms/Teams and phone calls
  • Organize domestic and international travel
  • Register for conferences
  • Database management 
  • Some personal work for the Partners may be required, including personal travel, doctor’s appointments, dinner reservations, etc.
  • Ad hoc projects within Human Resources and Investor Relations as needed

Skills/Character:

  • Excellent communication skills
  • Proficient in MS Outlook and Microsoft Office Suite
  • Organizational and Multi-tasking skills are a must 
  • True team player a must 
  • Ability to remain calm and composed during demanding periods
  • Pleasant and friendly personality while professional and polished - will be the face of the firm
  • Punctuality is very important 
  • Proactive, motivated and “can do” attitude 

Requirements:

  • Minimum 1-2-years’ experience in a busy administrative support role
  • Hours – 8:00am-5:00pm (with flexibility to work earlier and later, as needed) 
  • Business casual attire

Compensation/Benefits:

  • 80-85K base DOE + Bonus
