Salary: USD114000 - USD115000 per year

Our client is seeking a highly organized and fast‑paced Executive Assistant to support both the Trading team and the Head of Corporate Real Estate at a leading global investment firm. This role requires exceptional judgment, outstanding calendar management skills, and the ability to support high‑velocity executives, especially during market‑sensitive or buildout‑related periods. Hours are 8:00am–6:00pm with flexibility, and the role is hybrid with three days in office (Tuesday–Thursday) and remote Mondays and Fridays.

Key Responsibilities:

  • Manage complex and dynamic calendars for traders and the Head of Corporate Real Estate, including heavy scheduling, prioritization, and conflict resolution
  • Coordinate across multiple offices (NYC, CT, LA) for the Corporate RE leader, including logistics tied to office buildouts and space planning
  • Schedule meetings, conference calls, video conferences, and global sessions across time zones
  • Prepare, organize, and distribute meeting materials, pre‑reads, and follow‑up documentation
  • Coordinate detailed domestic and international travel, including multi‑stop itineraries and last‑minute changes
  • Process expenses, maintain accurate travel and corporate records, and support special projects
  • Serve as a liaison for internal stakeholders, external partners, vendors, and senior executives
  • Provide backup support to other EAs and collaborate on firmwide administrative workflows

Qualifications:

  • 4–7+ years of Executive Assistant experience supporting multiple senior leaders in fast‑paced, global environments
  • Bachelor’s degree required
  • Exceptional organizational and multitasking skills; proven ability to manage shifting priorities under pressure
  • Strong written and verbal communication skills with a polished, professional presence
  • High discretion, strong judgment, and the ability to handle confidential information
  • Proactive, resourceful, and collaborative; strong follow‑through and problem‑solving skills
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
