Private Equity Fund located in Midtown, East Manhattan, is seeking to hire a Temporary to Permanent Administrative Assistant to provide full administrative support to two Partners and the Office Manager. This role requires someone to be on-site from Monday through Thursday and work remotely on Fridays. The hours are from 9am-5pm with the possibility of overtime. Pays up to 95K.

 

Responsibilities:

  • Support partners with scheduling, travel, and calendar management.
  • Greet, direct, and provide drink service to visitors for meetings as needed.
  • Notify relevant employees when visitors arrive.
  • Follow building security procedures, such as entering all visitors into the building service portal on the day of their visit/ahead of their arrival.
  • Answer calls to the office main line and take messages, transfer calls, or provide callers with the relevant information.
  • Organize the reception area, conference rooms, and kitchenette, and provide light housekeeping as needed, particularly in the conference rooms before and after meetings with visitors, and in the kitchenette.
  • Restock drinks in the fridge and snacks in the kitchenette daily and notify the office manager when inventory is low.
  • Ship, receive, and sign for deliveries and ensure all mail and packages are distributed accordingly.
  • Unpack and organize all office supplies, including drinks and snacks, in appropriate closets and cabinets.
  • Support office manager with ad hoc projects around the office including picking up of meals for the team or senior staff as needed.
  • Support office manager with scheduling, dining reservations, and travel accommodation for staff as needed.
  • Support office manager with watering and light maintenance of office plants.

 

Qualifications:

  • 2-5+ Years experience in a similar role
  • Excellent verbal/written communication, organizational, and customer service skills
  • High level of professionalism, sensitivity, understanding, and courtesy
  • Excellent time-management skills and attention to detail
  • Works well with others, is thorough, and can multitask
  • Proficient in Microsoft Office software, Expensify
  • Bachelor’s Degree
