Receptionist/Administrative Assistant (A1431096NY-Temp) New York, New York

Salary: USD70000 - USD80000 per year

Private equity firm located in Midtown, Manhattan is seeking to hire a Temp to Perm Receptionist/AdminThis position will start late September/Early October 2025. Monday – Friday onsite. Hours 8am-5pm with 1 hour unpaid lunch, availability for OT as needed. Temp duration approximately three months before conversion.

Core responsibilities and duties of the Receptionist/Admin position include, but are not limited to:

  • Answer and direct calls from the main phone line, while providing back-up phone coverage for staff members who are away from their desks. Phone coverage will include engaging and screening callers and directing them to the appropriate person.
  • Order and organize catering for on-site meetings. The Receptionist will establish relationships with catering vendors and will work closely with administrative staff on catering and meeting planning needs.
  • Assist staff and building security personnel with the daily visitor list. Receive guests in a welcoming manner and attend to comforts of the visitor prior to meeting start.
  • Manage delivery service by arranging pickups, recording and tracking deliveries and shipments, maintaining supply inventory and preparing shipping labels. This includes sorting daily mail and preparing certified mail labels.
  • Oversee conference room scheduling and assist staff members regarding conference room availability. Monitor general upkeep of conference room appearance and inventory throughout the day. Stocking pantry as needed.
  • Support the Director of Human Capital; Complex scheduling, strategic calendar planning, and sophisticated calendar management: Strategically book interviews to maximize team members’ efficiency. Maintain frequently changing calendars through Outlook.

  • Superior interpersonal skills and excellent judgment; ability to gather, synthesize and distribute information as appropriate; ability to build relationships at all levels of the organization. 
  • Ability to maintain high degree of professionalism and discretion in all activities, particularly when handling sensitive and confidential information; diplomatic style with positive, friendly manner; ability to maintain performance in high-pressure situations.
  • Work in tandem with other Admins in New York and Boston.
  • Practical, “roll up your sleeves” team player work style and positive “can do” attitude

Compensation

  • 70K-80K perm base, temp rate paid in line. OT eligible when perm
