Executive Assistant (A1446366NY-Temp) New York, New York

Salary: USD45 - USD50 per hour

Our client, a leading global investment manager located in Midtown Manhattan, is looking for a Long-Term-Temporary Administrative Assistant to join their team. This position will start as soon as possible for a period of at least 6 months and will operate on an in‑office schedule between the hours of 8:30am–5:30pm. Compensation is $45–$50/hr.

 

Responsibilities:

  • Heavy Outlook calendar management; scheduling internal and external meetings
  • Proactively following up to ensure executives’ schedules stay on track
  • Maintaining all distribution and contact lists
  • Booking extensive domestic and international travel
  • Serving as gatekeeper for executives (in person, phone, and email)
  • Setting up Zoom meetings and conference calls
  • Answering incoming calls with high engagement and clear communication
  • Managing expenses via Concur
  • Coordinating and tracking delivery of time‑sensitive documents (FedEx, courier, etc.)
  • Coordinating notarizations as needed
  • Back-up support to senior EA and other admins
  • Assist with potential CRM/Salesforce tasks
  • Ad hoc projects as needed

 

Qualifications:

  • Bachelor’s degree preferred or equivalent business experience
  • Outstanding professionalism, judgment, integrity, and discretion
  • Experience managing hectic and fluid calendars with last‑minute changes
  • Domestic and international travel booking experience
  • Strong MS Office proficiency, especially PowerPoint
  • Salesforce experience or interest to learn
  • Excellent written and verbal communication skills
  • Extremely proactive, flexible, enthusiastic self-starter
  • Exceptional organization + high attention to detail
  • Able to prioritize and remain calm under pressure
  • Thrives in fast-paced environments
