Salary: USD99000 - USD100000 per year

Our client is seeking a highly organized, proactive Project Coordinator to support a senior consultant of a leading global executive search and leadership advisory firm. This is a client-facing, project-driven support role requiring exceptional organization, strong communication skills, and the ability to manage multiple priorities simultaneously. The ideal candidate is detail-oriented, relationship-focused, and comfortable serving as a key liaison between clients, candidates, and internal stakeholders while helping drive executive search engagements from start to finish. Hours are generally 8:30/9:00am–5:00/5:30pm with flexibility as needed, and the role follows a hybrid schedule of 2–3 days onsite per week after training.

Key Responsibilities:

  • Provide project and administrative support to a senior consultant
  • Coordinate complex candidate and client interview scheduling across multiple time zones
  • Manage calendars, meeting logistics, and travel arrangements
  • Prepare and maintain job status reports, project trackers, and engagement documentation
  • Proofread, edit, and finalize client presentations, reports, and deliverables
  • Manage database updates and proprietary CRM activity
  • Serve as a key liaison between clients, candidates, and internal stakeholders
  • Support executive search engagements from initiation through completion
  • Coordinate project timelines, follow-up activities, and deliverables
  • Maintain highly organized records, files, and search documentation
  • Manage multiple concurrent searches and workstreams while maintaining accuracy and responsiveness
  • Assist with special projects and administrative initiatives as needed

Qualifications:

  • 5–7+ years of Executive Assistant, Project Coordinator, or related support experience
  • Professional services experience strongly preferred (consulting, executive search, legal, financial services, etc.)
  • Strong experience managing calendars, travel, expenses, and project workflows
  • Demonstrated ability to manage projects from start to finish
  • Client-facing experience with strong communication and relationship management skills
  • Excellent proofreading, document preparation, and presentation skills
  • Exceptional organizational abilities and attention to detail
  • Ability to multitask and prioritize in a fast-paced environment
  • Strong Microsoft Office skills, particularly Word and PowerPoint
  • Proven career stability and longevity in prior roles
  • International exposure or familiarity working across global teams is a plus
