Our client is seeking a highly capable, proactive Executive Assistant to support the Managing Director (Head of Investments) and one to two Vice Presidents within a fast‑growing private investment firm. This role is ideal for someone who thrives in a high‑velocity environment, anticipates needs, and operates as a true execution partner. Hours are typically 8:30/9:00am–6:00/6:30pm, fully onsite five days per week, with flexibility as business needs arise.

Key Responsibilities:

  • Provide high‑level administrative support to the Managing Director and assigned Vice Presidents
  • Manage complex, frequently changing calendars across internal and external stakeholders
  • Coordinate extensive domestic and international travel, including multi‑city itineraries and real‑time adjustments
  • Prepare and submit expense reports accurately and on time
  • Act as a gatekeeper and liaison, screening calls and managing communication flow
  • Support meeting logistics including agendas, materials, and coordination
  • Assist with PR‑related calls, website updates, and preparation of marketing or investor materials
  • Partner closely with other Executive Assistants to ensure seamless team support
  • Support firmwide initiatives including holiday parties, strategy days, and conferences
  • Assist with light office management responsibilities such as supply ordering
  • Take initiative to identify issues, propose solutions, and keep priorities moving forward

Qualifications:

  • 5+ years of Executive Assistant experience, ideally within financial services or a similarly demanding professional environment
  • Proven ability to support senior executives in a fast‑paced, high‑growth setting
  • Strong organizational skills with exceptional attention to detail
  • Highly proactive, forward‑thinking, and comfortable operating independently
  • Excellent written and verbal communication skills
  • Strong judgment, discretion, and professionalism
  • Team‑oriented mindset with a flexible, can‑do attitude
  • Degree not required

Compensation/Benefits:

  • $135K–$150K base salary range + discretionary bonus
