Our client is seeking a highly dependable and hands‑on Senior Facilities Coordinator to support the day‑to‑day operations of a global investment firm’s New York office. This role requires strong facilities experience, excellent judgment, and the ability to provide white‑glove service while coordinating closely with an established facilities/office management team. Hours are 9:00am–6:00pm), and the position is fully onsite five days per week.
Key Responsibilities:
- Oversee office maintenance and repairs; liaise with building management and vendors for issues such as HVAC, lighting, and equipment
- Coordinate appliance maintenance, monitor facility needs, and ensure timely resolution of issues
- Manage inventory, restock pantries, and order office supplies and food items
- Assist with office space organization, storage oversight, and internal office moves
- Support daily lunch distribution and maintain cleanliness/organization of pantries, conference rooms, and communal spaces
- Develop and maintain vendor relationships, coordinate contractor and service provider access
Qualifications:
- 4+ years of experience in facilities, office coordination, or building operations (financial services preferred)
- Strong mechanical aptitude and comfort troubleshooting equipment/building issues
- Proficiency with Microsoft Outlook, Word, Excel, and Teams; familiarity with VMS and HVAC systems a plus
- Ability to lift up to 50lbs and work occasional Saturdays for urgent issues
- Strong time management, organizational skills, and follow‑up; proactive approach with a “no task too small” mindset
