Our client, a highly professional and fast-paced Family Office specializing in private investments, is seeking a Temporary to Permanent Administrative Receptionist/Office Manager to support daily office operations and executive scheduling functions. This role combines front desk responsibilities, office management, and executive assistant support within a collaborative team environment.
Key Responsibilities:
- Manage complex scheduling and calendar coordination for approximately 8–10 team members
- Oversee scheduling and coordination of two conference rooms to ensure seamless daily operations
- Serve as the primary point of contact for office coordination, including monitoring team attendance and office presence
- Coordinate monthly team lunches and internal office events
- Handle grocery ordering, office supply procurement, and general office upkeep
- Act as a liaison between internal teams and external offices/vendors
- Provide administrative and operational support to multiple senior professionals
- Assist with general IT troubleshooting and technology coordination as needed
- Maintain a highly organized, professional, and service-oriented office environment
Qualifications & Skills:
- Strong organizational and multitasking abilities with exceptional attention to detail
- Professional communication skills and a polished demeanor
- Ability to manage competing priorities in a fast-paced environment
- Proficiency with Microsoft Office Suite, Slack, Zoom, Adobe, and DocuSign
- Prior experience supporting executives or managing office operations preferred
- Ability to work independently while supporting a collaborative team environment
Additional Information:
- Full-time, in-office position: Monday through Friday, 9:00 AM – 5:30 PM
- Corporate casual office attire required
