Salary: USD120000 - USD130000 per year

Our client, a financial firm in Midtown, Manhattan, is looking for a Temporary to Permanent Executive Assistant to join their team. This position will operate mostly on a hybrid schedule, requiring Monday-Thursday on-site from 8:30-5:30pm with the occasional Friday in office as needed. Compensation for this role is 120 – 130k.

 

Responsibilities

  • Monitor heavy and fluctuating calendar, high volume of calls, e-mails, and flow of communication.
  • Compose, draft, proof, edit, and finalize correspondence including e-mail and other documents.
  • Screen all calls for executive and handle inquiries within capacity.
  • Track Executives' meetings and necessary follow-ups.
  • Review incoming mail/email, prioritize and summarize content, and process replies independently or per executive’s directives.
  • Plan and coordinate monthly and weekly team meetings.
  • Handle planning logistics for complex domestic and international trips using the Firm's contracted travel agency; provide detailed itineraries, agendas, directions, and backup materials.
  • Prepare expense reports accurately and submit per Firm policy.
  • Schedule and coordinate complex meetings and executive events requiring detailed logistics handling and problem solving.
  • Liaise with clients, investors, guests, and all personnel professionally and courteously.
  • Maintain confidentiality and discretion at all times.
  • Act as a team player, taking on additional tasks to support colleagues and the Firm.

 

Experience

  • Minimum of 3 years’ experience providing administrative support in a financial institution.
  • Minimum of 10 years' EA experience to high level executives.
  • Ability to manage highly sensitive, confidential information with complete discretion.
  • Strong judgment and relationship management skills.
  • Ability to manage high volume of work and prioritize tasks/projects based on urgency.
  • Excellent attention to detail and accuracy.
  • Advanced Microsoft Office Suite skills (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
