Our client is seeking a highly organized, proactive Project Coordinator to support a Consultant within one of the world’s leading executive search and leadership advisory firms. This is a client-facing, project-driven support role that combines executive support, project management, candidate coordination, and client service. The ideal candidate is detail-oriented, relationship-focused, and enjoys managing multiple priorities while serving as a key partner throughout executive search engagements. Hours are generally 8:30/9:00am–5:00/5:30pm with flexibility as needed, and the role follows a hybrid schedule of 2–3 days onsite per week after an initial training period.

Key Responsibilities:

  • Provide project and administrative support to Consultant and executive search teams
  • Coordinate complex candidate and client interview scheduling across multiple stakeholders and time zones
  • Manage calendars, meeting logistics, and travel arrangements
  • Prepare and maintain job status reports, project trackers, and search documentation
  • Proofread client-facing presentations, reports, and deliverables with exceptional attention to detail
  • Serve as the final quality-control review for presentations and executive search materials
  • Maintain and update records within the firm’s proprietary CRM and database systems
  • Support executive search engagements from initiation through completion
  • Coordinate project timelines, action items, deadlines, and deliverables
  • Facilitate communication between candidates, clients, consultants, and internal teams
  • Organize and maintain search files, records, and documentation
  • Assist with special projects and additional administrative initiatives as needed

Qualifications:

  • 5–7+ years of Executive Assistant, Project Coordinator, Administrative Assistant, or related support experience
  • Professional services experience strongly preferred (executive search, consulting, legal, financial services, etc.)
  • Demonstrated experience owning projects or processes from start to finish
  • Strong client-facing communication experience
  • Experience proofreading, editing, and reviewing client deliverables
  • Experience utilizing CRM systems, databases, or proprietary platforms
  • Strong calendar management and project coordination skills
  • Excellent Microsoft Office skills, particularly Word, PowerPoint, and Outlook
  • Exceptional organizational abilities and attention to detail
  • Proven ability to manage multiple priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • Demonstrated career stability and longevity in previous roles
