Our client, a leading financial advisory firm, is seeking an experienced Temp-to-perm Executive Assistant to support a Managing Director. The ideal candidate will have 5-10 years of solid Executive Assistant experience, preferably within financial services. This is a fast-paced, high-touch role that requires strong discretion, exceptional organization, and a natural sense of urgency. The right person will be proactive, detail-oriented, and eager to anticipate needs before being asked. It is in person 5 Monday through Friday with ideal hours from 9am-5pm but the flexibility to work from 10am-6pm, or 11am-7pm. There will be paid overtime when needed and the role will pay $110-120k.
Responsibilities:
- Provide high-level administrative support to the Managing Director, managing daily priorities and ensuring seamless operations.
- Maintain and update complex calendars, schedule meetings, and coordinate client appointments with precision.
- Arrange and manage light travel, including itineraries and logistics.
- Handle expense reporting, reconcile receipts, and track financial and legal documents.
- Maintain CRM data, input client notes, and generate reports as needed.
- Serve as a liaison between the advisor and internal/external contacts, exercising discretion and professionalism at all times.
- Assist with client correspondence, meeting prep, and follow-up documentation.
- Support general office operations as needed — from organizing files to ensure supplies and materials are in order.
- Proactively anticipate needs, stay one step ahead, and adapt quickly in a fast-paced environment.
Qualifications:
- 5–10 years of Executive Assistant experience, ideally within financial services such as a hedge fund or private equity.
- Strong organizational skills with the ability to manage multiple priorities under tight deadlines.
- Excellent written and verbal communication skills; able to interact professionally with clients and executives.
- High attention to detail and follow-through, with a proactive and solution-oriented mindset.
- Strong discretion and judgment when handling sensitive information.
- Tech-savvy with proficiency in Microsoft Office Suite and CRM platforms.
- Confident, mature, and adaptable personality — able to thrive in a direct, fast-moving environment.
- A self-starter who brings initiative and a strong sense of urgency to every task.
