Executive Assistant to Partner (A1429229NY-Temp) New York, New York

Salary: USD130000 - USD150000 per year

Global Financial Advisory firms seeks to hire a Temp to Perm Executive Assistant to support the Partner, Head of North America.

The position is Monday – Thursday onsite, Friday remote. Standard business hours, 8:30am -5/5:30pm. Temp duration is approximately three months before conversion.

 

Partner Support:

  • Coordinate complex calendars with competing priorities across multiple time zones, schedule internal and external meetings.
  • Align the calendar with the Partners business objectives, strategic work, internal leadership, and external relationship building.
  • Arrange domestic and international travel for Partner, including detailed itineraries, visas, and accommodation.
  • Consider business purpose, logistics, recovery time, and personal preferences when planning travel schedules.
  • Draft and manage high-level communications on behalf of the Partner ensuring proper prioritization and tone, liaise with clients and stakeholders, and ensure timely follow-up.
  • Compile confidential documents with precision and professionalism
  • Prepare agendas and compile briefing materials on behalf of the Partner
  • Detailed travel itineraries
  • Proactively manage the Partner’s workflow, anticipating needs, nudging stakeholders, and applying sound judgment in sensitive or high-pressure situations.
  • Maintain discretion and a solutions focused approach at all times.


Team Collaboration:

  • Work closely with the wider US Support team to provide holiday cover and ad-hoc reception cover as needed.
  • Collaborate with the global EA team to share best practices and ensure consistent, high-quality Partner support.
  • Manage expenses and miscellaneous tasks as required to ensure smooth day-to-day operations.


Origination Support:

  • Schedule meetings for team with prospective GP's, including the coordination of periodic roadshows.
  • Preparation for weekly pipeline meeting.
  • Must demonstrate an understanding of pipeline priorities.


Skills / Experience:

  • Professional, confident and articulate character with strong sense of discretion, judgement and professionalism.
  • Must be able to remain calm and work well under pressure
  • Excellent written and verbal communication skills with both internal and external stakeholders
  • Extremely organized and good with multitasking and timekeeping
  • Fast learner with the ability to demonstrate initiative
  • High level of discretion and professionalism
  • Proven experience supporting C-suite or senior leadership in financial services or professional services
  • At least eight years’ PA experience (ideally within financial services)
  • Experience of Word, Excel and PowerPoint a requirement
  • Experience with international / high end corporate preferred
  • Proficiency in Microsoft Office and calendar management tools

 

Pay:

  • $130K - 150K base plus discretionary bonus, temp rate paid in line
