Our client is seeking an Executive Assistant to support senior leaders within the Human Resources function at a top global investment firm. This role requires strong organizational skills, impeccable discretion, and the ability to manage heavy scheduling and cross‑department coordination in a fast‑paced, confidential environment. The hours are 8:00am–6:00pm with flexibility, and the position offers a hybrid schedule with three days in office (Tuesday–Thursday) and remote Mondays and Fridays.

Key Responsibilities:

  • Manage complex calendars across time zones for HR leadership, including heavy scheduling, prioritization, and conflict resolution
  • Coordinate meetings, conference calls, training sessions, and internal events for HR and cross‑functional partners
  • Support confidential HR processes including onboarding logistics, employee communications, document management, and internal meeting coordination
  • Prepare and organize meeting materials, pre‑reads, agendas, and follow‑up documentation
  • Coordinate detailed domestic and international travel, including last‑minute adjustments and proactive issue‑mitigation
  • Process monthly expenses and maintain accurate travel and corporate expense documentation
  • Assist with special projects, HR initiatives, and time‑sensitive work requiring discretion and professionalism
  • Provide backup support to other Executive Assistants and collaborate across teams as needed

Qualifications:

  • 4–7+ years of Executive Assistant experience supporting multiple senior leaders in global or fast‑paced environments
  • Bachelor’s degree required
  • Exceptional attention to detail, organizational ability, and follow‑through
  • Strong written and verbal communication skills with a polished, professional presence
  • Ability to handle highly confidential information with utmost discretion
  • Proven ability to manage shifting priorities, work under pressure, and meet deadlines
  • Proactive, resourceful, and collaborative; strong independent work ethic
  • Proficiency in Microsoft Office Suite; familiarity with CRM systems a plus
