Executive Assistant/Office Manager (A1420170NY-Perm) New York, New York

Salary: USD119000 - USD120000 per year

Our client, a real estate investment firm, is seeking an Executive Assistant/Office Manager to support their New York office. The hours are 9am–6pm with light flexibility for overtime. This role is hybrid with four days in office.

 

Responsibilities:
• Lead daily admin and operations for the NYC office, including maintaining supplies and coordinating food and beverage deliveries
• Greet visitors, answer phones, and handle mail and deliveries
• Coordinate office events and celebrations, including team outings and birthdays
• Maintain file systems, gather and notarize signatures, and liaise with building management
• Provide high-level support to General Counsel and New York-based Executives, including calendar management, meeting planning, and drafting correspondence
• Coordinate travel arrangements and distribute detailed itineraries
• Assist with expenses and invoice tracking for both office and Executives
• Collaborate with the broader admin and People teams to ensure smooth operations and coverage
• Handle other administrative tasks as needed

 

Qualifications:
• Bachelor's degree required
• 4+ years of Executive Assistant and/or Office Manager experience
• Strong organizational skills, with the ability to multitask and manage competing priorities
• Excellent verbal and written communication skills
• Proficiency in Microsoft Office Suite
• Ability to work proactively and independently in a fast-paced, collaborative environment
• Must be open to becoming a notary public in New York
