Our client, a leading alternative investment firm located in Manhattan is looking for a Temporary Executive Assistant to join their team. This position will serve from late February through at least the beginning of September to cover a maternity leave. This person will operate to start with 5 days in the office for training, then on a hybrid schedule between the hours of 9:00 AM – 6:00 PM with a one-hour lunch break. Compensation is $40 per hour.
Responsibilities:
- Supporting professionals at executive and senior levels
- Coordinating domestic and international travel planning as needed
- Tracking, organizing, and coordinating expense reporting (knowledge of Concur is a plus)
- Managing calendars and scheduling; collaborating closely with other EAs to coordinate internal and external meetings with accuracy and attention to detail
- Updating and providing timely follow‑up for department calendars and associated meeting needs
- Handling data entry and reporting through Microsoft Dynamics CRM as needed
- Preparing presentations and reporting materials
- Completing assigned ad‑hoc projects
- Providing administrative backup support to the EA team, including support to Executive‑level offices as needed
Qualifications:
- Bachelor’s degree required
- Minimum of 5 years of administrative experience in a corporate setting
- Previous experience using a CRM program is a plus
- Ability to manage changing demands in a fast‑paced environment with strong multi‑tasking skills
- Friendly, pleasant demeanor with a client‑service–oriented approach
- Excellent time‑management skills with the ability to manage priorities and meet deadlines
- Capable of exercising a high degree of diplomacy and discretion when handling confidential or sensitive information
- Demonstrates a “no task is too small” attitude
- Excellent verbal and written communication skills
