Our client is seeking an Executive Assistant to support the Investor Relations team at a top global hedge fund. This role requires exceptional communication skills, strong attention to detail, and the ability to manage a fast‑paced workflow with precision. Hours are 8:00am–6:00pm with flexibility as needed, and the position is hybrid with three days onsite (Tuesday–Thursday) and remote Mondays and Fridays.
Key Responsibilities:
- Provide administrative support for the IR team including heavy calendar management, meeting coordination, and call scheduling across time zones
- Communicate directly with investors, internal partners, and senior leadership with polish and professionalism
- Prepare agendas, materials, follow‑ups, and meeting documentation; ensure conference rooms are properly set up
- Enter and maintain meeting information and contacts in Backstop (CRM) with impeccable accuracy
- Coordinate travel arrangements, itineraries, and event registrations for the IR team
- Reconcile expenses, track reimbursements, and support a wide range of administrative tasks
- Provide client‑service support including email distribution lists, CRM data updates, and assistance with investor requests
- Support special projects and provide backup coverage for other IR assistants
Qualifications:
- 2–4+ years of Executive Assistant experience, ideally with at least 1 year in a client‑facing or investor‑servicing function
- Bachelor’s degree required
- Exceptional attention to detail, organizational skills, and follow‑through
- Strong interpersonal skills with the ability to interact professionally with investors and internal stakeholders
- Ability to prioritize, work under pressure, and shift quickly between tasks
- Highly discreet with confidential information; strong judgment and professionalism
- Proficiency in MS Office; experience with Backstop or other CRMs is a plus
