Senior Executive Assistant

Salary: USD94000 - USD95000 per year

Our client is seeking a highly organized and proactive Business Support Administrator to support the CEO at a growing investment management firm. This role requires exceptional attention to detail, strong communication skills, and the ability to anticipate needs while managing a fast‑paced, high‑volume executive schedule. Hours are 9:00am–6:00pm with flexibility to stay later as needed, and the position is hybrid with three days in office (Tuesday–Thursday).

Key Responsibilities:

  • Manage a heavy, back‑to‑back calendar for the CEO and ensure seamless daily flow
  • Coordinate complex domestic and international travel, meetings, and event logistics
  • Process invoices, approvals, and expense reports
  • Liaise with IT, building management, and external service providers as needed
  • Support office operations including supplies, pantry management, and general space upkeep
  • Serve as backup for mainline phone coverage with strong phone etiquette
  • Prepare presentations and assist with PowerPoint and Excel work
  • Provide additional administrative support to a second Business Support Administrator and select executives
  • Offer thoughtful, anticipatory support that aligns with the CEO’s preferences and working style
  • Participate actively in fostering a positive, engaged office culture

Qualifications:

  • 5+ years of administrative experience supporting senior or C‑suite leaders
  • Experience in finance or professional services highly preferred
  • Strong communication and interpersonal skills
  • Exceptional organizational ability with strong attention to detail
  • Ability to multitask, manage competing priorities, and operate independently
  • High level of discretion, reliability, and emotional intelligence
  • Proficiency with Microsoft Office required
  • Energetic, nurturing, and able to build trust with an executive who values consistency and loyalty
  • Bachelor’s degree preferred
