Our client, a leading global financial services firm headquartered in Midtown East, is seeking a long-term temp Administrative Assistant to support a team of professionals in their Credit & Insurance business. The number of professionals will vary, but it is likely this person will support an SMD (and/or or 1-2 MDs), 1-2 VPs, and assist in covering various analysts/associates. This role starts ASAP, just as soon as we can find the right candidate. This is a long-term temp role (estimated temp contract of a year, with potential to convert to permanent pending fit and business need). Must have experience supporting a team of professionals, demonstrated strong attention to detail, expert scheduling skills, very strong experience booking travel, and reconciling expenses. This roe is fully onsite, Monday – Friday. The standard daily hours are 8:30am-5:30pm (with flexibility to be reachable/ work OT if things come up after hours, especially travel-related). Hourly pay rate is $45/hr.
Responsibilities:
- Managing calendar(s) including scheduling internal and external appointments, confirming meetings, coordinating with other assistants
- Answering calls
- Acting as back-up support for other senior professionals
- Booking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitor system
- Completion of detailed corporate expenses including tracking receipts and reimbursements
- Coordinating travel arrangements including flights, visas/passports, cars, hotels, and other reservations
- Maintaining and organizing files
- Monitoring and maintaining office equipment and inventory supplies
- Assist with a variety of bespoke projects, including event planning, strategic operations, and process improvement initiatives
- Coordinate and drive various culture initiatives
Qualifications:
- A minimum of 5+ years of corporate administrative experience supporting a team of professionals
- Strong communication skills; high EQ
- Highly organized with strong attention to detail
- Ability to multi-task and prioritize competing tasks and deadlines
- Perform duties with the highest level of confidentiality and integrity
- Experience with coordinating travel arrangements
- An autonomous worker with strong follow-through skills
- Ability to build relationships with key players and management
- Creative thinker
- Extensive experience with Microsoft Office Suite
- Familiarity with Concur is preferred
- Bachelor’s degree preferred, but not required explicitly if the relevant work experience is there
