Our client is seeking a proactive, high‑energy Executive Assistant to support a Managing Director and broader BioPharma team. This is a high‑visibility team support role requiring strong prioritization skills, flexibility, and the ability to operate confidently in a constantly evolving environment. The role supports a senior leader based remotely as well as a broader team and requires someone who can balance competing demands while maintaining strong relationships across stakeholders. Hours are typically 8:30/9:00am–5:30/6:00pm with flexibility for overtime as needed, and the role follows a hybrid schedule of four days onsite.
Key Responsibilities:
- Provide executive‑level administrative support to a Managing Director and a team of senior professionals
- Manage complex, high‑volume calendars with constant changes and competing priorities
- Coordinate domestic travel, including frequent trips across time zones
- Support scheduling of meetings, calls, and team coordination across multiple stakeholders
- Anticipate scheduling conflicts and proactively resolve issues
- Process expense reports accurately and in a timely manner
- Serve as a professional point of contact for internal stakeholders and team members
- Assist with onboarding logistics and team coordination as needed
- Partner with other Executive Assistants to ensure seamless support and communication
- Maintain discretion and professionalism when handling confidential information
Qualifications:
- 3–5+ years of Executive Assistant experience
- Financial services experience strongly preferred; open to high‑growth startup environments with similar pace
- Strong calendar management experience in high‑volume, fast‑paced environments
- Ability to prioritize effectively and manage multiple competing demands
- Strong written and verbal communication skills
- Highly organized with strong attention to detail
- Proactive, flexible, and team‑oriented mindset
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
