Our client is seeking a proactive, high‑energy Executive Assistant to support a Managing Director and broader BioPharma team. This is a high‑visibility team support role requiring strong prioritization skills, flexibility, and the ability to operate confidently in a constantly evolving environment. The role supports a senior leader based remotely as well as a broader team and requires someone who can balance competing demands while maintaining strong relationships across stakeholders. Hours are typically 8:30/9:00am–5:30/6:00pm with flexibility for overtime as needed, and the role follows a hybrid schedule of four days onsite.

Key Responsibilities:

  • Provide executive‑level administrative support to a Managing Director and a team of senior professionals
  • Manage complex, high‑volume calendars with constant changes and competing priorities
  • Coordinate domestic travel, including frequent trips across time zones
  • Support scheduling of meetings, calls, and team coordination across multiple stakeholders
  • Anticipate scheduling conflicts and proactively resolve issues
  • Process expense reports accurately and in a timely manner
  • Serve as a professional point of contact for internal stakeholders and team members
  • Assist with onboarding logistics and team coordination as needed
  • Partner with other Executive Assistants to ensure seamless support and communication
  • Maintain discretion and professionalism when handling confidential information

Qualifications:

  • 3–5+ years of Executive Assistant experience
  • Financial services experience strongly preferred; open to high‑growth startup environments with similar pace
  • Strong calendar management experience in high‑volume, fast‑paced environments
  • Ability to prioritize effectively and manage multiple competing demands
  • Strong written and verbal communication skills
  • Highly organized with strong attention to detail
  • Proactive, flexible, and team‑oriented mindset
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
