The Team Assistant is a key role for our client’s Aberdeen site. Responsible for:-
All administration tasks within the region e.g., shift plans, handling of training, SAP support in scope.
Handling operational purchasing/ indirect procurement for the region.
Supporting the onboarding of all visitors and guests to site and is the centre for communication for both internal and external parties.
Supporting the creation and support of the training programme.
The education of office apprentices.
Key Responsibilities:
• Purchasing and ordering all indirect procurement e.g., stationery, resources and consumables, off-site local purchasing
• Responsibility of creating training matrix and to the education of office staff
• Creating and processing of purchase orders and invoices. Executing and follow up on these. This in cooperation with procurement and controlling
• Participate in the reporting of budget for Region and site/s, when applicable
• Coordination and booking of training and courses for site/s, Region and central support functions in the region
• Local administration (assisting site visitors, travel booking, ordering of IT, workwear and site-specific PPE)
• Administrative support to Head of Regional Support and Head of Site
• Support of relevant site needs e.g., induction, customs, travel reimbursement etc.
• Organisation of internal and external meetings
• Assist the O&M Team with shift and training plans, SAP entry tasks, as required
• Contact to government institutions and local community etc. (site specific)
• Gather and register time for external personal according to contracts and guidelines
• Superuser in IT systems and software at site/s
• Record Management, Daily document management in Share Point or other document control tools, as required
• Preparing and supporting new employees with onboarding
• Budgeting for administration and following up on site budget, if applicable
• Responsible for arranging Social and Community Events
• Local SAP support (CAT2) time reg., absence, etc.
• PA for Head of Region
• Responsible for Regional SharePoint structure and internal online communication
• Apply lessons learnt to other windfarms and new projects and support the Data Driven concept with internal stakeholders
• Accountable for data in area of responsibility to Asset Operational Readiness preparing sites out of warranty
• Local support to facility management if applicable
Education & experience
• Relevant educational background to the role and possess a business administration qualification
• Proven track record and experience of proven assistant and administration support and maintaining office systems
• High level of communication skill and excellent problem-solving skills
• IT-Intermediate to advanced level of MS Word, Excel and MS Outlook
• Ability to prioritise own workload and organise time and tasks efficiently and be proactive
