Gi Group is recruiting on behalf of a global life sciences company providing products and services used across scientific research, healthcare and industrial laboratories. We’re looking for an Engineering Documentation Specialist (GMP / CMMS) to provide high-level administrative and documentation support to the Engineering – Operations function within a pharmaceutical environment.

This role is ideal for someone who enjoys keeping systems organised and compliant, while supporting day-to-day engineering operations and proactively improving documentation processes.

You will help ensure maintenance and engineering documentation is accurate, controlled and inspection-ready, in line with GMP, Good Documentation Practice (GDP) and site procedures. You’ll also support purchasing/admin activity and coordinate with vendors and contractors.

 

Engineering Documentation Specialist Key responsibilities:

Documentation / Document Control

  • Draft, format, edit and update SOPs, Work Instructions, procedures, forms and technical documentation
  • Work closely with engineering teams and SMEs to support document reviews and updates
  • Coordinate document review/approval workflows and obtain approvals for new and updated procedures
  • Maintain accurate, controlled records to ensure documents are audit/inspection-ready (GMP/GDP compliant)
  • Support extension requests for re-planning scheduled maintenance tasks
  • Maintain equipment certificate documentation, ensuring maintenance documentation and equipment spares are completed

 

CMMS Administration

  • Administer maintenance tasks and records within the Computerised Maintenance Management System (CMMS)
  • Support equipment certificate documentation including:
  • review/creation of equipment spares
  • constructing maintenance procedures using vendor documentation and site SME input

 

Purchasing Support

  • Coordinate quotations with suppliers and vendors
  • Raise and track purchase requisitions for goods and services

 

Vendor & Contractor Coordination

  • Liaise with vendors and support booking of site-specific training
  • Track vendor activities and ensure service reports, certificates and records are received and filed correctly
  • Coordinate booking-in and scheduling of contractors/vendors for site work

 

What we’re looking for:

  • 5–7 years’ experience in administration, technical documentation, engineering/maintenance support or a related role
  • Strong organisational skills, communication skills and technical writing ability
  • Excellent attention to detail and confidence managing multiple priorities
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Experience using purchasing systems and document management systems (desirable)
  • Experience in a pharmaceutical, life sciences, manufacturing or other regulated environment (preferred)
  • Knowledge of GMP and Good Documentation Practice (GDP) (advantageous)
  • Qualifications: high school diploma (or business administration / technical subject qualification)
  • Experience in an engineering/technical environment is highly preferred
