About the opportunity

In this busy Sales & Marketing Administrator role; you will be responsible to support the Sales and Marketing team in the execution of tactical plans for brands, with duties including promotional materials coordination, admin, and event support.

Duties

  • To organize storage, tracking and distribution of promotional materials including tracking on quantities, quality, distribution, expiry dates and document destruction.
  • Coordinating materials printing and delivery of both leave behinds, clinical papers and banners, working directly with external suppliers (printer and distribution warehouse)
  • Coordinating promotional materials approval through formal internal review & approval system (Veeva PromoMats)
  • Work with sales and marketing to facilitate electronic signing of and subsequently filing of legal documents (including Transfer of Value, Confidentiality Agreements, Contracts, Consulting Agreements)
  • Support / administration for promotional spend (preparing documentation for internal approval processes, communicating local & above-country decisions to team, purchase order requests, new vendor onboarding, PO generation, ensuring invoices received from vendors & sent for processing)
  • Mailout coordination / administration (vendor point of contact, generation of quotes & local approval, working with sales / marketing leads to ensure correct customer targets)
  • Managing shared sales and marketing calendars / trackers (e.g. calendar of events, shared marketing iPad, commercial transfer of value events)
  • Logistical support for both internal and external meetings, working with preferred suppliers as required (venue / catering booking and management, invitation development and distribution, travel booking, preparing meeting collateral e.g. attendance sheets, name tags, arrange delivery of banners / other materials)
  • Logistical support for webcasting (vendor management, venue / AV sourcing, manage on-site logistics as needed)
  • Lead for all congress logistics including registrations, travel for team, briefing document and on-site support (as needed)

 

Skills and Experience

  • Degree level or equivalent qualifications in a business and or science discipline
  • Experience managing projects
  • Experience using Microsoft Office, Excel, Powerpoint, Adobe, MS Teams/Zoom
  • Numerical aptitude to enable budget management and working with suppliers to ensure quotes / invoices received in a timely manner and demonstrating return on investment
  • Acting in accordance with the local Code of Practice and internal compliance (including SOPs).
