Job Description: Operations Administrator
The Operations Administrator plays a vital role in ensuring the smooth functioning of daily operations within an organisation. They are responsible for handling administrative tasks, coordinating operational activities, and providing support to various departments as needed. This role requires excellent organisational skills, attention to detail, and the ability to multitask effectively.
Key Responsibilities:
Administrative Support:

- Perform general administrative duties such as answering phone calls, responding to emails, and managing correspondence.
- Maintain and update company databases, records, and files.
- Prepare reports, presentations, and other documents as required.
Operational Coordination:

- Coordinate operational activities and schedules to ensure efficiency and productivity.
- Collaborate with different departments to streamline processes and improve operational workflows.
- Monitor inventory levels and coordinate with procurement to ensure adequate supplies are available.
Data Management:

- Collect, analyse, and present data related to operational performance.
- Maintain accurate records of operational metrics and key performance indicators (KPIs).
- Identify trends and areas for improvement based on data analysis.
Communication and Liaison:

- Serve as a point of contact between departments, facilitating communication and collaboration.
- Communicate operational updates, policies, and procedures to relevant stakeholders.
- Address inquiries and concerns from employees and external partners.
Problem Solving and Decision Making:

- Identify operational issues and proactively develop solutions to address them.
- Assist in resolving day-to-day operational challenges and escalations.
- Make informed decisions to optimise operational processes and resource allocation.
Compliance and Documentation:

- Ensure compliance with company policies, procedures, and regulations.
- Maintain documentation related to operational activities, including contracts, agreements, and compliance records.
- Assist in conducting internal audits and assessments as needed.
Qualifications and Skills:
- Proven experience in administrative or operational roles.
- Strong organisational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Ability to work effectively both independently and as part of a team.
- Attention to detail and accuracy in data management and documentation.
- Problem-solving skills and the ability to make decisions under pressure.
