Job Title: Facilities Assistant

Location: York

Salary:  £13.45 per hour

Contract:  Part Time Temporary contract – 6 weeks

                  Monday, Tuesday & Thursday – 10am to 5pm

 

We’re looking for a proactive Facilities Assistant to help deliver an excellent day-to-day facilities service for our client’s site.  You’ll play a key role in ensuring our workplace is safe, clean, well-stocked, well maintained and welcoming for colleagues, tenants and visitors.

You’ll be the first point of contact on site, supporting reception/switchboard activities, coordinating meeting rooms and post, monitoring contractors and helping resolve issues quickly and professionally.

 

Key responsibilities:

Facilities

·      Daily building checks (clean, safe, secure, stocked) and resolve issues

·      Reception/switchboard, meeting rooms, post/couriers

·      Log and follow up maintenance; oversee planned works and RAMS compliance

·      Issue passes/keys, support site inductions

·      Monitor space use, support sustainability, keep CAFM/PPM/work orders up to date

 

Health & Safety

·      Routine checks via AssessNet; record incidents and support investigations

·      Support risk assessments, ERP/BCP readiness

·      Act as First Aider/Incident Warden (and Deputy when required); monitor training cover

 

Comms & customer service

·      Work closely with FM team and onsite stakeholders

·      Keep FM procedures up to date; attend meetings and escalate site issues

·      Deliver responsive, consistent customer service

·      Budgets & contracts

·      Raise POs, support tenders, source quotes

·      Monitor contractors and manage internal recharges

 

Experience

·      Facilities (or similar) experience

·      Stakeholder management and customer-facing experience

·      Teamworking

 

Training (or willingness to train)

·      First Aid and Fire/Incident Warden

·      Contractor management, H&S, risk assessment

·      Asbestos awareness, electrical/gas safety, working at height

·      Skills & behaviours

·      Strong communication; organised and able to prioritise

·      Good IT skills (Word/Excel)

·      Proactive, detail-focused, solutions-led

·      Flexible, accountable, knows when to escalate
