Executive Assistant - Legal (S9690O-C29BF712) Abu Dhabi, United Arab Emirates
We are currently seeking an experienced EA to be based in our clients Abu Dhabi office, supporting a legal team.
Key Responsibilities:
- Conduct standard administrative duties such as managing phone calls, routing mail, maintaining files, and managing attorney calendars.
- Process attorney emails (with permission), organiseĀ folders, and keep attorneys updated on priorities.
- Anticipate and address attorney needs proactively, offering solutions and resolving conflicts.
- Prepare engagement letters and client memos, and maintain client/matter number lists for new business processes.
- Maintain accurate records using tracking charts, focusing on billing and new business.
- Utilise tools like Excel and PowerPoint to assist attorneys.
- Coordinate complex travel arrangements and assist with visa requirements.
- Prepare check requests and ensure timely vendor payments.
- Delegate tasks to other departments, ensuring accurate and timely completion.
- Perform additional support services as required, including document handling and quality control.
- Maintain a reliable in-office presence to support administrative functions and client services.
Qualifications:
- Proficiency in Word, Outlook, Excel, and PowerPoint, with the ability to learn new software.
- Strong attention to detail and ability to manage multiple projects with shifting priorities.
- Capable of working independently and collaboratively within a team.
- Flexibility to adjust work hours to meet business needs.
- High level of professionalism and ability to handle confidential information.
- Must be available to work in the office at least four days per week.
- A-Level or equivalent education preferred, with a minimum of three years of office experience, or a combination of education and experience.
- Must have experience in a similar professional services environment.
