Our client is seeking a highly organised and proactive Operations Administrator to join our team in Matraville and Mascot. You will be responsible for providing critical administrative support to ensure the smooth daily operations of our transport and logistics departments. This role requires a candidate who can manage high-volume data entry, coordinate logistics, and maintain professional communication with clients.
The preferred and successful candidate will have a dynamic "can do " attitude, work well as part or team while also taking initiative in unsupervised conditions in addition possessing a firm understanding of recruitment practices.
The role will require, but is not limited to the following duties:
Invoicing & Financial Support:
- Processing Daily and Monthly Invoices based on project scenarios and service delivery.
- Ensuring accuracy in financial data entry to support the project team's budget tracking.
Mail & Logistics Management:
- Monitoring and responding to Delivery Email Packages and Return Email Packages.
- Handling Returns: Performing high-accuracy data entry for returned items (no allocation required).
- Coordinating Overhead Shots / Sticker Labels for returns as required.
Customer Service & Scheduling:
- Acting as the first point of contact by answering the main phone line and directing queries.
- Calling customers directly to coordinate and book specific pick-up time slots for equipment or materials.
Office Operations:
- Managing office inventory by placing the weekly client orders and other supplies.
- Maintaining organised digital and physical filing systems for project documentation.
Qualifications and Required Skills:
- Experience: Previous experience in an administrative role within a construction or engineering environment is highly regarded.
- Communication: Exceptional verbal communication skills for professional phone etiquette and customer scheduling.
- Attention to Detail: High level of accuracy in data entry, particularly for invoices and return logs.
- IT Proficiency: Competent in Microsoft Office (Word, Excel, Outlook) and comfortable learning internal project systems.
- Organisational Ability: Strong multitasking skills with the ability to prioritise tasks in a fast-paced environment.
