Hours - 37 hours per week, Monday to Friday

Salary £20,000 - £23,000 DOE

About the role

As our Receptionist and Facilities Coordinator, you'll be the welcoming face of Business Stream as the first point of contact for visitors, customers and new colleagues.

This role requires a friendly, professional and engaging individual who delivers excellent customer service with enthusiasm and a smile. You will strive to make our visitor, client and colleague interactions with our Reception and Facilities team exceptional, while dealing with queries of all shapes and sizes.

 

Key Tasks

  • Acting as the first point of contact for Business Stream visitors, clients and colleagues.
  • Responsible for providing a friendly and professional reception service, delivering excellent service and going above and beyond for our customers
  • Ensure the efficient running of our site security processes and procedures, monitoring site
  • access; maintaining our online visitor log; and ensuring access passes are issued and returned
  • Ensuring that our reception area of the office is kept tidy and presentable
  • Support provision and day to day management of Business Stream's intra-day cleaning service
  • Responding to emails and enquiries in a professional, friendly, efficient way
  • Supporting our workplace management system, Envoy
  • To ensure that all deliveries are accounted for and passed to the relevant contacts
  • Responsibility for ensuring that our meeting rooms are kept tidy, presentable and full functional liaising with our IT team when required
  • Supporting hospitality requests when required and complying with health, safety and food safety standards.
  • Responsible for the ordering and inventory of stationary and facilities supplies as required
  • Complying with all statutory and regulatory regulations as relevant.
  • To provide general administration support and assistance as required, including administering Purchase Orders and undertaking any other additional reasonable requests from the Health, Safety and Facilities Manager

 

What we are looking for

Knowledge and experience

Essential

  • Previous experience of working in a front-of-house role in a similarly sized customer service organisation
  • Previous experience of providing ad hoc administrative support to Directors and Senior Executives.

Desirable

  • Experience of managing budgets
  • Good understanding of our business
  • Previous experience of liaising with third party suppliers

Skills

Essential

  • Highly organised with the ability to multi-task
  • Able to prioritise own workload and manage conflicting priorities to ensure deadlines are met
  • Highly developed interpersonal skills
  • Excellent verbal and written skills
  • Ability to work on own initiative and work as part of a team
  • High attention to detail both visually and through written communications
  • Good working knowledge and application of Microsoft packages, in particular Outlook, Excel, PowerPoint and Word
