This position serves as confidential executive assistant to the dean of the College of Liberal Arts & Sciences (CLAS), assisting the dean with administrative responsibilities.
Required Education
- Bachelor’s Degree.
Required Experience
- Five to seven years of administrative duties providing management support or experience with qualitative responsibilities of a similar level.
- Administrative experience in a higher education setting is preferred.
Primary Duties/Essential Functions
- Serves as confidential executive assistant to the dean of the College of Liberal Arts & Sciences, preparing correspondence, reports, and other documents.
- Schedules appointments, meetings, and luncheons; maintains the dean’s, associate/assistant deans’ calendars; makes travel and conference arrangements.
- Provides direction and supervision of assignments, training and front office function for undergraduate student workers, graduate assistants, and full-time office staff.
- Schedules, prepares any arrangements, and attends the CLAS department chair meetings.
- Oversees the implementation of university and college-wide policies at the departmental level, working with department staff managers and assistants as needed.
- Monitors budgets, prepares and approves purchase requisitions, check requests, expense reports, supply orders, and other items as they relate to managing budgets.
- Creates master calendar of College events, coordinating with departments on logistical details as needed.
- Directs and executes mass mailings to students and parents on the Dean’s List.
- Coordinates and conducts meetings for administrative support staff in CLAS, providing training on college processes.
- Establishes and maintains full-time faculty, adjunct faculty, and staff confidential personnel files.
- Processes and tracks full-time faculty workloads and overloads.
- Monitors the process of full-time faculty candidates, coordinates the review of applications, and arranges interviews.
- Coordinates annual CLAS Fall Faculty/Staff Retreat (serving 60+ faculty and staff) and other college gatherings as deemed necessary by the dean, coordinating with outside vendors and campus service departments for meetings and events as needed.
- Assists with the content, layout, and distribution of College publications, including monthly memos from the Dean, parents and alumni newsletters, Board Reports, and Annual Publication summaries.
- Creates, maintains, and posts relevant content on CLAS social media accounts, including Facebook, Instagram, Twitter, and APU Now.
- Serves as a liaison with Strategic Planning & Engagement (SCE), assisting with website updates, developing and posting content as needed.
- Manages other office functions, including facilitating IMT requests, Facilities work orders, and coordination of office assignments at the College and departmental levels.
- Participates in staff interviews for CLAS departments.
- Assists with special projects as assigned by the Dean.
- Supports and assists associate and assistant deans as needed.
- Regular, punctual attendance during standard business hours (e.g., Mon-Fri 7:00am-4:00pm; 8:00am – 5:00pm; 9:00am-6:00pm). Occasional overtime required.
- Performs other duties required by the Dean.
Skills
- Strong general administrative and organizational skills required. Excellent MS Word word processing skills.
- Type 60 wpm with accuracy.
- Proficient use of Excel, PowerPoint, Publisher, Google Apps, MailChimp or Emma, and PeopleSoft.
- Able to communicate effectively and accurately in oral and written form. Excellent command of the English language a must.
- Ability to compose, proofread, and edit emails and other documents for an academic audience.
- Professional demeanor essential; ability to interact with others with a gracious and welcoming attitude.
- Preferred proficiency in Adobe Illustrator, Canva, and/or other graphic design software.

- Ability to work independently and meet deadlines.
- Ability to work collaboratively with a team, as well as an independent contributor.

- Able to conduct business at other offices on campus.
- Able to lift, bend, grasp, reach, lift up to 20 lbs. occasionally.
- Requires a Caifornia Driver’s License.

Compensation
- Grade 10: $25.94 - $33.72
- Salary will be commensurate with qualifications, experience, and internal equity.
