Birmingham 2022 is looking for multiple Venue Operations Coordinators to join the Venue Management Functional Area. The Venue Operations Coordinators will work within the Venue Management Functional Area, providing general administrative support and day-to-day assistance to either one or more of the venue teams, or within the central Venue Management team. In this capacity, the roles will be pivotal in assisting the Venue Management Functional Area and Head of Venue Management in the coordination of all aspects of event planning, operational integration and event delivery.

The ideal candidate will be a proactive and organised individual with an ability to manage multiple work streams effectively and efficiently to meet deadlines and objectives. Responsibilities:

  • Provide general administrative and organisational support, including meeting invites, template creation, writing minutes and the organisation of team building exercises.
  • Support the Venue General Managers, Assistant Venue General Managers and Venue Operations Managers with the creation and production of venue specific operational planning documentation and presentations.
  • Support the capturing and resolution of venue specific risks and issues.
  • Prepare Games time venue documentation including daily run sheets, radio fleetmaps and pre-event checklists.
  • Liaise with Functional Areas to ensure venue specific safety documentation including emergency evacuation plans, risk assessments, contingency plans are produced in a timely and accurate manner and collated in a central location.
  • Assist and facilitate the coordination of contingency planning for the venue team in conjunction with Risk, Health and Safety, Command, Coordination and Communication, Security, Transport and Site Management.
  • Coordinate desktop and simulation readiness exercises and assist with the venue specific requirements preparing venue specific content, delivery and evaluation of the plans.

Skills and Experience:

Essential

  • Proven experience of managing multiple different work streams in an effective and efficient manner, meeting deadlines and objectives.
  • Excellent written and verbal communication skills.
  • Ability to successfully manage the demands of a constantly changing operational environment.
  • Supportive, collaborative and reliable team player.
  • High level of attention to detail.

Start Date: ASAP

Contract: Fixed-term contract until August 2022

Location: One Brindley Place, Birmingham (full time, office-based)

Salary: Competitive

Please note, due to the nature of this huge event, shift work including weekend working will be required at Games time. Furthermore, there will be limitations on taking annual leave during the Games operational period in July and August. More specific details can be discussed at interview.
