Department overview:
The successful candidate will be part of the Real Estate & Services department based in Nomura’s European headquarters, 1 Angel Lane (City of London). The department is responsible for all Nomura’s properties and business services for EMEA.
The main activities of the RE&S department include property acquisition, disposal and space utilisation, general operation, administration, maintenance and repair, corporate travel and services, health, safety & environmental, EMEA support and insurances. In addition manages the contents and all services required to provide a high quality, safe and secure environment for staff, clients and visitors.
Reporting to the Head of Real Estate & Services, EMEA for Nomura International plc, the primary role will be providing support and assisting with other team members in the department if required.
Specific Responsibilities
Administrative support and diary management for the Head of Real Estate & Services, EMEA
General administrative and diary management for other Senior Team members occasionally (ED and VP Levels)
Liaising and building rapport with senior Executive Assistants across the organisation
Screening correspondence - acting as a first point of contact for senior stakeholders: dealing with correspondence and phone calls professionally and appropriately
Coordination and preparing of documents for meetings and presentations
Responsible for maintaining department organisational charts, phone lists and contact sheets
Maintain office supplies for the department
Travel bookings and expense processing
Processing of sensitive and confidential information
Attend and host the weekly roundtable Management Meeting, including attending meetings as and when required to host, minute and also document thereafter
Produce various correspondences and documents within the Nomura Branded guidelines
Planning and co-ordination of Departmental Town Hall meetings
Manage and collate the whereabouts of staff for holidays and other absence
Communicate key messages to department both in UK and overseas
Assist with maintaining online filing system
Skills Required:
Experience managing multiple diaries and providing administrative support for senior stakeholders
Strong skills in ability to organize a daily workload by priorities
Must be able to meet deadlines in a fast-paced quickly changing environment
Numerate with excellent communication skills both written and oral
High attention to detail
Flexible, pro-active and approachable individual with the willingness to go beyond the scope of the usual job description
Competent in the use of standard IT software packages (Outlook, Excel, MS Word and PowerPoint)
