Kōrero mō te tūranga - About the role

The School of Nursing, Midwifery, and Health Practice is currently seeking School Administrator (0.6 FTE) to join the team to cover a fixed term (10 months, January-November). This is an opportunity for someone with experience in and an aptitude for administration to contribute to the smooth running and growth of the School.

You will be part of the professional team responsible for the efficient running of administrative services to staff and students, including providing course administration, clinical learning experience administration, data entry, taking minutes, and other administration tasks. You will also be supporting the School Manager, Director, School academic staff and students.

Key Responsibilities: 

  • Support enquiries and deliver advice and information to undergraduate and postgraduate students and staff as appropriate.
  • Provide a high level of administrative service for all course-related work; including course information, course, outlines, Blackboard administration and support, grade entry, clinical placement and tutorial organisation, and timetabling.
  • Provide professional and timely administration support across a wide range of School-related activities. This will include organising functions & events, travel arrangements, reception duties, minutes, record-keeping, stationery ordering, account payments and other administration functions.
  • Build and maintain effective working relationships within the School to ensure an up-to-date understanding of current internal activities, events, research and developments.
  • Assist with the development, documentation, and management of processes and procedures, and of electronic filing systems to enable quick access to current information.

Ō pūmanawa - About you

You will be well-organised, self-motivated, able to multitask and prioritise, enjoy problem solving, must be a team player and have an eye for detail. You will have good computer literacy in a Microsoft Office 365 environment, excellent people skills, use plenty of initiative, and have the ability to learn and be agile. An understanding of the tertiary education and health services would be an advantage.

This role is busy, challenging, extremely rewarding and interesting for the individual with the right temperament. 

Key Requirements: 

  • Proven experience in customer service and office administration in a team setting.
  • Extensive knowledge and experience in a range of computer applications, including Microsoft Outlook, Word and Excel.
  • Strong organisational skills with the ability to independently prioritise tasks and meet deadlines under pressure.
  • Excellent written and oral communication skills, with experience in communicating clearly and concisely with a wide range of people.
  • Proven ability to work a very high standard of accuracy.
  • Commitment to Te Tiriti o Waitangi and its obligations to Māori as tangata whenua and Treaty partners.
  • Experience in developing, implementing and maintaining administration procedures.
  • Knowledge of Internet and Intranet information storage and retrieval systems.
