Responsibilities;
- Attend events during evenings and weekends where necessary
- Provide support for special projects where necessary
- Contribute actively to departmental discussions and decision-making
- Provide cover for colleagues in their absence as requested
- Maintain confidentiality of information in compliance with the Data Protection Act and GDPR
- Such duties relating to the work of the Alumni & Development Office as may be assigned from time to time by the Director
- Manage the Director of Development’s diary
- Set up meetings externally and internally as requested, ensuring that all parties are aware of the arrangements
- Prioritise requests for meetings and ensure effective use of the Director’s time
- Confirm arrangements and ensure that the relevant papers are available for meetings
- Coordinate termly Development Committee Meetings, circulating the agenda and papers in good time, distributing minutes as directed and adding to SharePoint
- Coordinate team meetings and updating team task list
- Produce donation thank you letters as required
- Process Director’s incoming post
- Deal with routine correspondence and telephone enquiries
- Maintain a log of Alumni & Development Office team attendance
- Review OUDO notices of annual fund and telethon activity and upload schedule of mailings, telethon, and e-campaigns
- Process staff expense claims
Essential experience;
- Educated to A level
- High level of proficiency on a Customer Relationship Management (CRM) database (preferably Raiser’s Edge/Blackbaud)
- Excellent communications skills –written and oral
- Highly organised and efficient
- Able to work to tight deadlines
- Works towards high standards of accuracy and efficiency
- Analytical with an eye for detail
- Always maintain confidentiality and discretion
- Courteous, friendly, and tactful. Establishes rapport easily
- Professional when dealing with Senior Staff, Fellows, alumni, donors, colleagues, and students
- Ability to juggle priorities and has effective coping strategies
- Accepts accountability for results

- Working knowledge and experience of MS Office applications, email, and the Internet
