ACCOUNTABILITIES
Ensure E&C administration requirements are achieved, and administration activities are carried out efficiently.
Plan, request and monitor IT harwares and softwares necessary to support E&C activities.
Support the control of invoices for TAS contracts, SAP and PRs, JPCs and Work Orders creation activities.
Assist E&C Manager to promote the application of NOC HSE rules and specifications.
Assist E&C Manager to promote safety culture with NOC personnel and contractors and to report anomalies.
ACTIVITIES
IT correspondent for E&C entity
Assist in IT related requests for all E&C users.
Assist to manage access rights for E&C entity network share drive.
Collate common IT issues for E&C entity for IT entity reporting.
Attend to all IT requests in the hot line (soft & hardware requests, loan laptops, movement of phones, desktops, etc.).
Follow-up with IT entity to deliver IT resources to new comers.
Administrative activities
Assist E&C Manager to manage calendar, appointments and facilitate efficient operations of his office.
Assist E&C Manager with visitor’s enquiries, receive, direct and relay telephone messages.
Assist E&C Manager in disseminating information to departmental/all personnel regarding changes to entity documents, policies and procedures.
Assist E&C Manager on his administrative needs and all other tasks that may be assigned.
Verify, schedule and coordinate appointments, meetings and events including travels and missions.
Assist in organizing, planning and preparation of workshops for E&C entity.
Review correspondence before submission for final signature.
Booking and monitor meeting rooms bookings for E&C entity.
Assist to ensure guests are properly managed upon arrival and during their stay.
Verify and raise requests and follow-up for personnel SAP access.
Request for IGG for new personnel or replacement.
Report new comers to HSE department for HSE induction.
Verify and raise requests to General Services (offices movements, works requests, office condiments & consumables).
Create PRs, JPCs and Work Orders.
Verify, issue and follow-up Personnel On Board for E&C entity.
Verify, issue and follow-up E&C personnel main administrative documents (passports, visas, IDs, QP pass, certificates).
QUALIFICATIONS & EXPERIENCE REQUIRED |
Chartered Secretary & Administrator.
Multi skilled competencies
Strong administrative background with a minimum of 10 years experience. Having worked with international companies is preferable.
Proficient in Ms Word, Excel, PowerPoint and Outlook.
Pleasant personality, good interpersonal and communication skills.
Ability to work under pressure with minimal supervision
Ability to work within a team environment
Fluent in English.
