Our client, a company that primarily focuses on providing assistance to cancer patients through various means of therapy, is in need of a temporary IP Administrator. They are looking for someone to overlap with the current person leaving early next year – but want to give time to train.
A current Notary Public commission is preferred. The desire and ability to obtain one within three months of hire will be considered

General job description:
Reporting to the Director, IP, the IP Administrator will work closely with in-house and outside patent practitioners, docketing, and annuity service providers to ensure optimal management of patent prosecution within the IP group. The position requires excellent communication and organizational skills, decision-making skills, the ability to prioritize and monitor multiple deadlines, and excellent interpersonal skills to work with a diverse group of legal, scientific, and administrative personnel.
Responsibilities to include:
- Maintaining and monitoring all patent prosecution and maintenance deadlines in our commercial docket system (CPi). Generating docket reports and conducting weekly docket reviews with in-house patent practitioners
- Managing the annuity payment cycle, reviewing payment due dates, requesting updates from in-house patent practitioners, instructing annuity payment service, confirming payments and filing payment receipts
- Managing formal document requests between outside counsel and current and ex-employee inventors (including declarations, powers of attorney and assignments) and providing notary service (preferred)
- Preparing patent schedules and related summaries of patent statistics and status updates for licensees and due diligence activities
- Acting as System Administrator for our electronic billing service including such activities as creating new billing records, coordinating payment activities with our Accounting group, and conducting first pass review of invoices for alignment with our Outside Patent Counsel billing guidelines
- Additional responsibilities may include: matching invoices with specific disclosures and patent applications in e-billing system; generating maintenance fee cost estimates through CPi for budget planning; maintaining file room for original executed formal documents and issued patent documents; and providing general administrative support for the IP group
Qualifications:
- Personal pride and ownership of work product, accuracy and attention to detail of data entry, and ability to work to strict patent deadlines are absolutely required
- The ability to carefully follow procedures and instructions, to work independently, as well as with a team, to balance and prioritize multiple tasks, and to respond effectively to rapidly changing priorities and deadlines are necessary for success
- Experience with electronic filing/document management system and knowledge of CPi docketing and annuity is required. Familiarity with e-billing is a plus
- Excellent reading and writing skills and proficiency with MS Outlook, Word and Excel.
- One year minimum of experience as IP paralegal or familiarity with U.S. and foreign patent laws and procedures required; 2-3 years preferred.
- A four-year college degree is desired, but not required
- A current Notary Public commission is preferred. The desire and ability to obtain one within three months of hire will be considered
