Executive Assistant (A1476143D) Cambridge, Massachusetts

Salary: USD36 - USD36.5 per hour

This temporary Executive Assistant opportunity is a 3+ month assignment offering approximately 37.5 hours per week (Monday-Friday, 9:00 AM-5:00 PM with lunch). The role is hybrid, requiring 4 days onsite and 1 day remote in Cambridge, MA. Compensation information is not specified. The position supports senior leadership within a higher education/legal office environment, requiring extensive executive-level administrative support and discretion with highly confidential matters.

Key Responsibilities:

  • Serve as the first point of contact for visitors and act as gatekeeper to a senior executive
  • Manage a complex executive calendar and scheduling priorities
  • Coordinate domestic and international travel arrangements and expense reports
  • Track action items, commitments, and follow-up activities
  • Oversee day-to-day office and suite operations
  • Triage and resolve incoming inquiries with minimal supervision
  • Build relationships with internal leadership, external clients, and law firms
  • Prepare reports, presentations, and confidential executive materials
  • Draft, proofread, and fact-check documents and correspondence
  • Conduct online research
  • Organize and maintain physical and electronic records
  • Troubleshoot technology issues with IT support teams
  • Coordinate meetings, conference space, catering, and A/V needs
  • Assist with additional office-wide administrative duties

Qualifications:

  • Minimum of 7 years of Executive Assistant experience
  • Experience supporting senior executives, preferably in a large organization or university setting
  • Strong organizational, project management, communication, writing, and proofreading skills
  • Advanced experience with complex calendar management
  • Proven ability to handle confidential and sensitive information with discretion
  • Ability to manage multiple priorities and work effectively under pressure
  • Strong attention to detail and deadline management skills
  • Professional interpersonal skills and experience interacting with diverse stakeholders
  • Advanced proficiency with Microsoft Office, Google Suite, Zoom, Adobe, Dropbox, and document comparison tools
  • Experience with document management systems required
  • Experience with iManage/Work10 preferred
  • High school diploma required; bachelor's degree preferred
