Executive Assistant (A1449365HN) Waltham, Massachusetts

Salary: USD30 - USD30 per hour

This is a temporary, onsite administrative role within a higher education institution, supporting the Dean of Students office at a campus location in Waltham, MA. The position is 35 hours per week, Monday through Friday from 9:00 AM to 5:00 PM with a one-hour break, and is expected to last 12 weeks with strong potential to extend. Pay is $30/hour. The role supports a fast-paced, student-facing environment, with an ideal start date of Tuesday, March 10.

Job Responsibilities

  • Manage the Dean of Students’ calendar, meetings, and complex scheduling across multiple campus constituencies
  • Coordinate and respond to inquiries received through the office’s general email account and phone line
  • Provide guidance to students, families, faculty, and staff navigating sensitive and urgent situations
  • Support administrative functions including purchasing, invoice processing, receipt management, and purchasing card reconciliation
  • Oversee daily office operations such as answering calls, greeting visitors, processing paperwork, and distributing mail and packages
  • Assist with meeting planning, agendas, weekly updates, and year-end reports
  • Provide event planning support, including space coordination, catering, publicity, A/V setup, and presentation preparation
  • Help design and produce office communications and publications such as invitations, posters, and brochures
  • Perform additional administrative duties as assigned

  • Outstanding verbal and written communication skills with the ability to interact effectively with diverse populations
  • Proven ability to handle sensitive and confidential information with professionalism and discretion
  • Experience supporting senior administration, preferably in a higher education environment
  • Strong problem-solving skills and the ability to navigate complex situations independently
  • Excellent organizational skills with the ability to prioritize and multitask accurately in a fast-paced setting
  • High proficiency in Microsoft Office and the ability to quickly learn and support new software systems
  • Comfort working in a collaborative, high-volume office environment with frequent visitors
