Beacon Hill Associates is hiring a Workplace Associate to support daily office operations and provide front-desk administrative and facilities coordination support. This role serves as the first point of contact onsite and plays a key part in maintaining a professional, welcoming, and well-organized workplace environment.

Hours: Monday–Friday, 7:30 AM – 4:00 PM

Day-to-Day Responsibilities
Site Operations

Create a welcoming, professional environment for employees and visitors
-
Handle internal and external communications, including monitoring the main phone line
-
Support daily workplace and facilities operations
-
Schedule, coordinate, and communicate maintenance activities
-
Manage internal work order systems and invoice processing
-
Provide administrative support to workplace and project teams
-
Perform additional tasks as assigned
Workplace Experience

Deliver consistent, high-quality customer service

Direct employees and visitors to appropriate points of contact

Monitor office and facility conditions and ensure follow-up

Coordinate with vendors and service providers

Assist with meeting and conference room reservations
Visitor Management

Manage visitor registration and access

Ensure compliance with visitor access procedures

Assist with emergency response protocols when required
Kitchen & Office Support

Maintain cleanliness of kitchen and break areas
-
Monitor and stock office and kitchen supplies
-
Coordinate service and repairs for office equipment as needed
Mail Services

Receive, sort, and distribute mail and packages
-
Process outgoing and overnight shipments
Compliance & Administration

Administer and maintain badge access
-
Support basic reporting and administrative tracking

Follow all safety and workplace guidelines
Ideal Candidate Profile
-
Strong administrative or office support experience
- 2+ years of experience in facilities or property administration
-
Excellent customer service and communication skills
-
Ability to remain professional in high-volume or stressful situations
-
Strong time management and multitasking abilities

Experience with work order or CMMS systems preferred
-
Proficiency in Microsoft Office (Outlook, Word, Excel)

Strong organizational skills and attention to detail

Advanced Excel skills for administrative reporting preferred
