Beacon Hill Associates is hiring for a Licensing Coordinator. This role provides administrative and project support for a corporate licensing and compliance team during a period of increased due diligence and transaction activity. The position supports documentation management, licensing tracking, and coordination across multiple deal stages within a fast-paced corporate environment.
Assignment Details
Hours: 20 hours a week
Work Schedule: Tuesdays, Wednesdays, and Thursdays within core business hours (9:00 AM – 3:00 PM)
Work Environment: On-site in a professional corporate office setting
Pay Rate: $26-$27hour
Day-to-Day Responsibilities
Due Diligence Support
- Retrieve and organize licensing documentation for assigned locations
- Maintain a master tracking spreadsheet for license types, expiration dates, and jurisdictional requirements
- Set up and organize shared folders for diligence projects
- Track license renewals and update documentation and expiration dates accordingly
Active Deal Support
- Assist with gathering documentation and information required for licensing applications
- Prepare application packets requiring signatures and verify documentation accuracy
- Track requests and documentation from internal stakeholders
- Maintain records of required approvals, documentation, and compliance steps throughout the process
Deal Closing Support
- Prepare change-of-ownership notifications to appropriate jurisdictions
- Update internal systems and documentation once transactions are finalized
- Scan, save, and organize final documentation and closure letters
- Maintain organized digital records and update project folders as transactions close
Candidate Profile
- Bachelor’s degree preferred
- Minimum of 3+ years of professional administrative or operations experience
- Experience handling confidential or sensitive information
- Strong organizational, documentation, and administrative skills
- Proficiency with Microsoft Office and document management systems
- Self-starter with strong written and verbal communication skills
- Ability to work independently and manage shifting priorities in a project-based environment
- High attention to detail and strong follow-through on tasks
