Corporate Travel Associate / Hybrid (2 days/week in Paddington office)/c£17 per hour 

We are seeking a highly organised and proactive Senior Concierge Meeting & Events Associate to join a global team delivering high-impact corporate meetings and events. This is a fantastic opportunity for an experienced events professional to manage end-to-end logistics, venue sourcing, and stakeholder coordination across a diverse portfolio of internal and client-facing events.

Key Responsibilities:

Event Planning & Execution

  • Plan and deliver a range of corporate events, from conferences to large-scale gatherings
  • Source venues that meet specific event requirements and client preferences
  • Provide curated venue options and side-by-side comparisons
  • Build seamless travel itineraries including dining and experiences

Vendor & Stakeholder Coordination

  • Negotiate contracts to maximise savings and reduce cancellation risks
  • Maintain a database of preferred venues and suppliers
  • Coordinate with internal teams and external vendors to ensure smooth execution
  • Collaborate with purchasing teams for approvals and payments

Event Logistics & Compliance

  • Use platforms like Cvent for venue sourcing and proposal tracking
  • Conduct 100% of hotel space searches via Cvent
  • Ensure compliance with pharmaceutical regulations and company policies
  • Track sourcing metrics, cost savings, and vendor performance

Problem-Solving & Innovation

  • Proactively resolve challenges and improve event processes
  • Stay informed on industry trends, new venues, and emerging markets

Candidate Profile:

  • Minimum 5 years’ experience in event planning (medical/pharmaceutical events preferred)
  • Strong project management and organisational skills
  • Advanced English proficiency; additional languages a plus
  • Experience using Cvent for venue sourcing
  • Understanding of pharmaceutical compliance in event planning (preferred)
  • Travel booking experience beneficial (cross-training available)
