A highly respected global legal organization is seeking an accomplished Executive Assistant to support senior leadership as part of the launch of its new Chicago office. This is a unique opportunity to join a growing team at the ground level and play a critical role in shaping administrative operations for a high-profile group of partners. The ideal candidate is exceptionally proactive, polished, and tech-savvy, with the ability to anticipate needs, manage competing priorities, and serve as a trusted business partner in a fast-paced environment. The role is a 5-day in office position - it is not hybrid.
THE ROLE:
• Support a group of senior partners, managing complex calendars, travel arrangements, meetings, and day-to-day priorities.
• Serve as a strategic partner by anticipating needs, identifying potential scheduling conflicts, and proactively providing solutions before issues arise.
• Coordinate extensive domestic and international travel, including contingency planning and real-time itinerary management.
• Monitor client relationship activity and assist with follow-up, outreach coordination, and meeting scheduling.
• Prepare, edit, and proofread correspondence, presentations, reports, and other business documents.
• Act as a key point of contact for internal and external stakeholders, representing leadership with professionalism and discretion.
• Coordinate meetings and events, manage logistics, and ensure all materials and action items are handled efficiently.
• Assist with office operations and administrative processes as the Chicago office continues to grow and expand.
• Partner closely with leadership and administrative teams across multiple offices to ensure seamless support and consistency in best practices.
• Handle highly confidential information with the utmost discretion and sound judgment.
YOU:
• Bachelor’s degree preferred.
• 5+ years of Executive Assistant experience supporting senior executives, partners, C-suite leaders, or other high-level stakeholders.
• Experience within legal services, professional services, consulting, financial services, private equity, or similarly fast-paced environments is strongly preferred.
• Highly proactive mindset with a demonstrated ability to anticipate needs, solve problems independently, and drive work forward with minimal direction.
• Strong executive presence, professionalism, and relationship-building skills.
• Advanced proficiency in Microsoft Office Suite and other business technologies.
